Does anyone us a certain program to track scheculded maitainece or do they use there limo program.

I use a tracking program called @road, which also does maintenance. Being that it keeps track of miles...I just enter when I want things done. For example, all cars get oil changes every 5,000 miles...so when a vehcile comes up to that, it shows yellow or red..depending how deperate the situation in. That's just a perk of the tracking....which is probably one of the best things I ever did for my company.

I keep track of our 8 vehicles in our fleet with a excel spreadsheet that gets updated weekly with the vehicles mileage.
Although the reservations program we use (LMS gold for windows) has a vehicle maintinance tracker it is only usefull if you put in the vehicles mileage after each run. Since that is something my boss does not do or care to do I find it much easier to do it on a seperate spreadsheet. I Have categories such as this: Change Engine Oil & Filter - Lube all steering, driveshaft and chassis fittings Replace Fuel Filter Replace Engine Air Cleaner Filter Transmission Service Clean Fuel Injection System Cooling System Service Flush PVC Valve Brake Fluid Exchange / Flush Replace Serpentine Belt Replace Spark Plugs Flush and Replace Power Steering Fluid Replace Rear End Lubricant (Per Ford Specs) New Battery Front Brakes (Inspection Every 15K) Rear Brakes (Inspection Every 15K) And after each one have a column for "mileage done" - "interval" - and "Miles since." In the mileage done column I put the last time the maintinance item was done. The interval is the amount of miles in between performing the maintinance item. And the Miles since column takes the current miles entered in "miles since" number and that number I compare to the interval. I use conditional formating in exel if you are familiar with that to turn any number that is over the interval bold and red so it will jump out at me but for the most part just comparing the miles since number and te interval should tell you what is due. I then priint out the sheet for each car and that becomes the list for the mechanic to work off of. Then as invoices for the work come in I just update my spreadsheet with the mileages when the work was preformed. I also have an area on these sheets to note down three areas of problems: Ford Warranty work needed Coach builder Warranty work needed Small repairs needed (all little things but not necessarily stuff worth taking the vehicle out of service for) These three areas are just a central place to keep track of problems with each vehicle just so things do not get lost in the shuffle. Works good for us. |

I do it all by hand/ computer. Don't have a fleet, so I don't worry. Many shops have a write- on/ wipe- off board on the shop wall with every vehicle, mileages for service and spots for drivers to write up problems. The mechanics are the ones to keep it all up to date.
Ask you mechanic or shop to keep such records. Or take a folder with you to the shop to have the mechanic fill out at each service. Carbon copy all services to be kept both in the shop and in the office for future/past reference. |
